A lightbulb moment, if you have never had one, it is a really great feeling. Especially when you are presenting and one of the people you are talking to, suddenly gets it!
This happened to Unleashed last week. We have been working with a large client automating one of their work processes – turning a manual time-consuming process into an automated workflow.
This was our third workshop honing the process. From day one we have had full ‘buy-in’ from the management and people driving cost efficiencies. This was the first time we had the end-users involved in seeing the system. These are the supervisors that will have to input all the data – which basically means, data inputted will determine how much, or, if their guys get paid. Pretty important stuff, Let’s face it, nobody wants to be out of pocket and not paid what they are owed.
What became that lightbulb moment?
Our customer, who works in the construction industry, has lots of manual processes. The time sheets we are working on have to include hours worked, type of work and description. This means a lot of writing particularly if you have a lot of workers in your team. Once these daily sheets are filled in, they have to be taken to another part of the site for processing. If there are discrepancies, they have to be sent back to the supervisor. There are multiple authorisation processes and people who see the form and put their signature on it. This is very time-consuming.
A supervisor, sitting in our workshop finds out that he can fill in the form on his PC, press a button and the authorisation process instantly starts. No longer, in all weathers, does he have to cross the site to hand in the form. This alone makes his job so much easier and more efficient, Lightbulb moment. Then we come onto other efficiencies. The processing clerk can read what has been typed and doesn’t have to spend hours deciphering bad handwriting. The system works on tablets/smartphones and PC/Laptops, this means, a manager can authorise the form with a press of a button and the employee gets paid.
As we are just about to go live, we are not sure if the employees will lose money because we now have accurate information being fed through. You can bet that in the past if they had been short, they would have told someone. Not sure if they would have come clean if they were paid too much!
We are confident that once we go live with time sheets, the customer will look at other ways of saving time and money.
